Requesting a new position for the Co-Curricular Record (CCR)
UCSD now allows all students, staff and faculty to request new CCR positions. Click through the steps below to get yours approved!

1. Review
First, search the catalog.
Before requesting a new position, you'll need search the CCR Catalog to make sure it isn't already listed. For an effective search try separately entering your department, office, program and/or position in the Keyword Search (seen below).
If your position is already listed, follow these steps to add it your record.
If your position is not listed in the Catalog, go to Step 2.
2. Criteria
Second, review the CCR criteria.
For your application to be approved, the position must meet the following CCR criteria:
- Must have a clear connection to the university and be verified by a staff or faculty member.
- You'll need to identify your staff or faculty Validator for the position and include their UCSD email address.
- Must provide an opportunity for at least 30 hours of active engagement.
- You should be able to describe the responsibilities, activities and events that make up this participation requirement.
- Must lead to the development of at least three UCSD Competencies.
- Discuss the competencies with your Validator so the identified skills on your CCR Transcript are accurate.
- Must include hours and deliverables beyond the scope of academic course credit (to avoid duplication on academic transcript).
- Ensure your position does not overlap with academic course requirements, as the application will not be approved.
If your position meets all requirements, go to Step 3.
3. Apply
Third, complete the application in the CCR Portal.
Click through steps in the following video, or continue scrolling for written instructions. Our Step-by-step Position Application Guide also includes examples for each prompt in the application.
Log into the CCR Portal with your SSO credentials.
Click the drop down on “Co-Curricular Module” (located on the menu to the left), then click “Request a Position”.
Page 1: Grouping
- Select the Academic Year your position took place (can be submitted up to one year later).
- Select one of the following categories:
- Research and Academic Life (ex. undergrad research, tutoring, academic publications)
- Student and Campus Engagement (ex. leadership, mentorship, athletics, clubs)
- Community-Based and Global Learning (ex. external community engagement, international opportunities)
- Professional and Career Development (ex. work study, internships, workshop series)
- Lastly, select the department or college your activity is under.
- Please Note: If you cannot find the department or college your activity is listed under, click “Add New”.
Page 2: Activity
- Select your existing Activity, or “Add New” if it is not already listed.
- If you clicked "Add New", provide a brief description of the identified Department/Organization from the previous page.
- This could be a department mission statement, or something from department's "About" page.
- Enter the new Activity/ Program Name
- This could be a program, office, sub-unit, student organization, etc., or you can also list the Department name again if that's the best fit.
- Below the Activity/Program Name, provide a brief description of what it does.
- Select whether the opportunity is required as part of a academic program or course (Yes/No)
- Select the Year of Activity, ensuring it matches what was selected on the previous page.
- OPTIONAL FIELDS:

Page 3: Position
- Enter your specific Position Title.
- Note that the “Short description” field appears on your official CCR Transcript, therefore has specific formatting requirements. This description must be written in:
- Only one sentence
- Starting with an action word
- Using past tense and gender neutral language
- EXAMPLES:
- Supported staff in outreach efforts and administrative tasks.
- Advised students on resume writing and internship opportunities, delivered workshops, and assisted with job and recruiter fairs.
- Supported incoming transfer students in their transition to UCSD by providing mentorship, supervision and resources in a four-day, overnight program.

- EXAMPLES:
- Select three competencies (or skills) that participants gain from this experience. Consult your faculty/staff Validator and use these Guiding Questions if you are unsure what to select.
- Enter the full name and UCSD email address for the position's faculty/staff Validator.This person must be a full-time employee and be able verify your completion of the 30 hour participation requirement. If you have any questions, please email elt@ucsd.edu
- Finally, enter your own contact information so that we can follow up in regards to your application.
Note: You can save a draft of your application responses by making a copy of this document.
Once you submit your application, go to Step 4.
4. Approval
Congratulations! Your application is now under review.
It typically takes the CCR Team 1-2 weeks to review and respond to applications, in the order that they are received. It's important to look out for any emails from elt@ucsd.edu, as that is how we communicate approvals, requests for more information, or declined applications.
When a new position approved, that means it is eligible to be added to your CCR Transcript.
If declined, students are able to resubmit applications with additional information, and can do so up to one year after they served in a given position.
